Polk County Implements Official Records System Offering Public Access via the Internet
Polk County, Florida, processes between 700 to 1,000 documents for recording each day. Implementation of the NewVision system enabled the county to significantly reduce its backlog of documents to be recorded. In addition to the efficiencies that NewVision's clients have come to expect, such as automating fee calculation and eliminating the need to enter data more than once, other factors have contributed to Polk's success. Most importantly, in 1999 Polk County became NewVision's first client to implement an Official Records System that permits access to the land records index by the general public via the Internet. Members of the public view the index of land records and order copies of documents from the convenience of their home or office PC's.
Given the decrease in traffic in the Clerk's office, the office staff is able to work far more efficiently than before. The County converted all of its index data to the Official Records System and, to make a public search via the new system more complete, also converted its existing records dating back to 1990, so that title searchers need not access reels of microfilm to view those documents. In addition, to give the public immediate access to documents, the County makes documents available on the Official Records System for public view immediately following indexing, with a note that the record is subject to verification.

Polk County, which covers 2,048 square miles, has also improved its service to the community by enabling documents to be recorded via the Official Records System in two annex locations - Lakeland and Winter Haven.
